Booking and Payment
- A deposit of $500 per person is required to confirm your booking.
- Full payment is due 60 days before the departure date.
- Bookings made within 60 days of the departure date require full payment at the time of booking.

Cancellations and Refunds
- 60+ days before the departure date, guests will receive a full refund.
- 60–30 days before the departure date, guests will incur a $500 cancellation fee.
- 30–0 days before the departure date or for no-shows, no refunds will be provided.
- Guests will receive a full refund or the option to reschedule if we cancel the tour due to unforeseen circumstances.
- If a guest is delayed or chooses not to do components of the holiday, we cannot offer a refund on that portion.

Changes to Itinerary
- The itinerary is subject to change due to weather, road conditions, or other unforeseen circumstances beyond our control.
- We will make every effort to provide an equivalent alternative if changes are necessary.

Accommodation
- Accommodation is based on solo or twin occupancy, and preferences must be specified at the time of booking.
- Any specific requests are the responsibility of the guest.

Meals and Dietary Requirements
- Included meals are specified in the itinerary.
- Guests must inform us of dietary requirements or allergies at the time of booking. While we will make reasonable efforts to accommodate requests, we cannot guarantee all needs will be met.

Health, Fitness, and Accessibility
- Guests must be in reasonable health and fitness to participate in the tour.
- Any medical conditions, disabilities, or special requirements must be disclosed at the time of booking.
- Some activities may have physical requirements or restrictions; it is the guest’s responsibility to assess their suitability for participation.

Travel Insurance
- Comprehensive travel insurance is recommended for all guests.
- Insurance must cover trip cancellations, medical expenses, personal belongings, and emergencies.

Luggage
- Guests are responsible for managing their own luggage.

Third Party Suppliers
- When your travel itinerary includes services provided by a third party (an Independent Supplier) that we do not directly control, our role is to select a reputable supplier and coordinate those bookings on your behalf. Independent Suppliers may include airlines, rail services, attractions such as museums, restaurants, and other providers included in our package holidays.
- Please be aware that these third parties operate under their own terms and conditions. If any changes affect your booking—whether initiated by you or the supplier—any applicable fees and charges will be added to your booking and must be paid when the changes are confirmed.

Information Storage and Use
- We adhere to the relevant laws for storing and using your information. All information is kept securely.
- Credit card details are encrypted within our computer reservations system.
- We will not share your information with a third party except those who are working as our agents or partners to deliver your experience.

Newsletters
- If you have given us your contact information, we may send you our newsletter or other promotional items.
- Please let us know if you do not wish to receive this – or you may unsubscribe from the newsletter online.

Companion Card Policy
- We do not offer discounted tickets for Companion Card holders.
- Companion Card holders are required to purchase a ticket to participate in the tour.

Certified Support Dogs
- Guests must notify our booking team in advance of their intention to bring a Certified Support Dog.
- Proof of certification must be provided at the time of booking.
- We reserve the right to refuse uncertified dogs without prior approval.

Behaviour
- Respectful behaviour towards fellow guests, crew, and the environment is expected.
- We reserve the right to remove guests who disrupt the tour or endanger others, without refund.

Photo and Media Consent
- By participating in the holiday, you consent to photos or videos taken during the experience being used for promotional purposes unless you inform us otherwise.

Third Party Suppliers

Liability

- Guests are responsible for ensuring they have all necessary travel documents.

- Any concerns during the holiday must be raised promptly with Outback Pioneers’ Guest Relations Manager to allow for immediate resolution.
